Everything an employee needs to submit and track their expense claims.
The User Panel is where you, as an employee, submit new reimbursement requests and keep an eye on the ones you've already sent in. It has two parts: the Dashboard, for a quick overview, and My Requests, where you do the actual work.
Dashboard
A quick snapshot of your reimbursement activity, so you don't have to open each request one by one.
Total Reimbursement Requests — how many requests you've submitted in total
Request Status Overview — a breakdown of how many are Approved, Pending, or Rejected
Recently Submitted Requests — your latest requests and their current status, at a glance
My Requests
This is where you create and manage your reimbursement claims.
How to submit a new request
Go to My Requests.
Click New Request (or similar button — confirm exact label).
Select the Expense Category (e.g., travel, food, client meeting).
Enter the Expense Amount and Expense Date.
Add a short Description/Remarks explaining the expense.
Attach your bill or receipt.
Click Submit.
Tracking your request
Once submitted, your request moves through one of three statuses:
Pending — still waiting for approval
Approved — approved by your manager or the authorized approver
Rejected — declined, along with a remark explaining why
Viewing request details
Click into any request to see its full details — the expense info, your uploaded bill, its current status, and any approval remarks left by your manager.
Approvals
This section only appears if you have employees reporting to you.
If you're someone's manager, you'll see an Approvals tab in your User Panel — separate from your own reimbursement requests. This is where you review and act on your team's expense claims.
How to approve or reject your team's request
Go to Approvals.
Select the request you want to review.
Check the expense details and uploaded bill/receipt.
Click Approve or Reject.
Add a remark, especially if you're rejecting it.
Once you approve a request, it's marked as Approved — Admin can then view it and process the payment. (If you don't act on a request in time, Admin may approve it directly to avoid delays.)
