Decide who approves reimbursements, regularization, tax declarations, and shift swaps - and how many approvals each request needs.
Approvals Settings lets administrators set up the approval process for different kinds of employee requests. For each request type, choose how many approvals are needed and which employees can approve. Every request then follows the same process, so nothing gets approved without the right people reviewing it.
How to Access Approvals Settings
Log in to the Admin Panel.
Go to Settings → Organization Settings → Approvals.
How it works,
An employee submits a request.
The request goes to the approvers set up for that request type.
The approvers review and approve it.
Once the required number of approvals is reached, the request is approved.
The person who created the organization in PrimeHR is automatically a default approver for all requests. You can add more approvers separately for each request type.
Settings for Each Request Type
Each request type has its own approval settings, so you can manage them separately. Every request type includes:
Required Approvals - how many approvals a request needs before it’s approved
Additional Approvers - the employees who can approve this type of request
Selected Approvers - the employees currently set as approvers
Reimbursement
Approval settings for employee reimbursement requests, using the settings above.
Regularization
Approval settings for attendance regularization requests (requests to correct an attendance record, for example after a missed check-in), using the settings above.
Tax Declaration
Approval settings for employee tax declarations, such as investment proofs under Section 80C, using the settings above.
Shift Swap
Approval settings for requests to swap shifts with a colleague. Along with the settings above, Shift Swap has two extra options:
Include Reporting Manager - turn on to add the employee’s reporting manager as an approver
Include Receiver Employee - turn on to add the colleague taking the swapped shift as an approver, so they confirm the swap too
Example
If Required Approvals for Reimbursement is set to 3, a reimbursement request needs three approvals before it’s approved.
Other Approval Settings
Some requests have their own approval settings elsewhere in PrimeHR:
Leave requests - see Leave Settings
Field expense, conveyance, advance, DA, and TA requests - see Expense Settings
Field orders - see Orders → Order Settings
Why it helps
Set up a different approval process for each request type
Choose exactly which employees can approve each kind of request
Control how many approvals each request needs
Bring in reporting managers and swap colleagues where it makes sense
Every request is reviewed the same way, with full transparency
