Set how attendance is tracked, how late arrivals and overtime are handled, and where employees can check in from.
Attendance Settings is where administrators control how PrimeHR records and calculates attendance. Turn attendance tracking on or off, connect biometric machines, restrict check-ins to the office location with geofencing, set rules for late arrivals and early departures, and configure overtime. Attendance data then flows into payroll automatically.
How to Access Attendance Settings
Log in to the Admin Panel.
Go to Organization Settings → Leave & Attendance → Attendance.
Attendance and Time Tracking
Turn this on to track employee attendance and working hours.
When it’s turned off, all attendance tracking features are switched off, and no attendance data is recorded.
Skip Attendance Tracking
Exclude selected employees from attendance requirements when salaries are generated - useful for senior staff or employees whose pay doesn’t depend on attendance.
Employees Exempt from Attendance Tracking - search for and select the employees who don’t need to meet attendance requirements for payroll
Tracking and Calculation Rules
Select the method used to record attendance:
Biometric Card: Attendance through biometric devices using card-based identification.
RFID Card: Attendance recorded using RFID cards.
Mobile App: Attendance recorded through the mobile application.
Manual Entry: Attendance entered manually by authorized users.
Hybrid: A combination of supported attendance tracking methods.
Work Hours Calculation
Choose how PrimeHR calculates working hours from attendance punch records.
First In – Last Out: Calculates working hours using the first check-in and last check-out of the day.
Sum of In-Out Pairs: Calculates total working hours by adding all valid check-in and check-out intervals
Biometric Machines
Register biometric machines to receive attendance punch records in PrimeHR.
To connect a machine:
Share the machine's serial number with the PrimeHR team.
The PrimeHR team provides the required server IP address details.
Add the provided server IP address to the biometric machine's configuration.
Complete the required device setup to enable attendance data synchronization.
Note: The machine's serial number is required to identify the device during setup. The server IP address must be configured on the machine to send attendance records to PrimeHR.
Geofencing
Geofencing restricts employee check-ins and check-outs based on their distance from the designated office location.
Enable/Disable Geofencing: Turn location-based attendance restrictions on or off.
Distance (Metres): Enter the maximum permitted distance from the office location. For example, setting it to 50 metres means employees must be within 50 metres of the designated office location to check in or check out.
Office Location: Manage the office location through Business Unit → Update Location.
The permitted distance can be changed by updating the metres field in Attendance Settings.
Attendance Rules
Set rules for late arrivals, early departures, and penalties, so they’re applied the same way for everyone.
Grace Period - how late an employee can arrive before late-arrival rules apply
Late Penalty After - how late an arrival must be before a penalty applies
Early Penalty Before - how early a departure must be before a penalty applies
Maximum Late Marks - the number of late arrivals allowed before a penalty applies
Maximum Early Marks - the number of early departures allowed before a penalty applies
Example: If the work start time is 9:30 AM and the grace period is 15 minutes, an employee arriving at 9:40 AM is within the grace period, while an employee arriving at 9:50 AM exceeds it.
Late arrivals and early departures are reflected in attendance records as:
PL: Present, arrived late.
PE: Present, left early.
The configured penalty rules are applied during attendance calculation.
Absence Notifications
Turn absence notifications on or off, to control whether notifications are sent when an employee is absent.
Overtime
Set how overtime is calculated and who it applies to.
Overtime Rate Multiplier - how much more overtime hours are paid compared with regular hours, such as 1.5x
Minimum Hours for Overtime - the minimum hours an employee must work to qualify for overtime
Weekend Overtime Rate - the overtime rate for work on weekends
Holiday Overtime Rate - the overtime rate for work on holidays
Overtime Department - the department this overtime setup applies to
Related Settings
Shift Mode - working days, work start and end times, and full-day and half-day hours
Holiday Calendar - the holidays used for holiday overtime and attendance records
Company Information - your organization’s timezone, used for accurate attendance times
Why it helps
Attendance is recorded automatically, from biometric machines or check-ins
Geofencing makes sure check-ins happen from the right place
Late arrivals, early departures, and overtime are handled by the same rules for everyone
Attendance data flows straight into payroll, with no manual entry
