Decide exactly who can see and do what in HRMS - by creating roles with the right permissions for each job.
Roles & Permissions lets administrators control access to HRMS features. Instead of setting permissions user by user, you create roles, such as HR Manager, Payroll Executive, or Team Lead, give each role the permissions it needs, and assign users to roles. Everyone gets access to what their job requires, and nothing more.
How to Access Roles & Permissions
Log in to the Admin Panel.
Go to Settings → User Management → Roles & Permissions.
How to Create a Role
Click Create Role.
Enter the role details (see below).
Select the permissions this role should have.
Click Save.
Role Details
Role Name - a name that identifies the role, such as “HR Manager”
Description - a short explanation of the role and its responsibilities
Copy Permissions from Existing Role - start from an existing role’s permissions, then adjust them. Useful when a new role is similar to one you already have.
Permissions - the features and actions this role can access.
All Roles
All your roles appear in the All Roles list, showing:
Role Details - the role’s name and description
Permissions - how many permissions the role has
Users - how many users are assigned to the role
Status - whether it’s a default system role or a custom role
Actions - view, edit, or delete the role, where allowed
Use the search bar to find a specific role.
Managing Existing Roles
View - see the role’s details and permissions
Edit - update the role’s details or permissions, where allowed
Delete - remove the role, where allowed
System roles are built into PrimeHR, so some may not be editable or deletable.
Before deleting a custom role, check how many users are assigned to it and move them to another role first.
Why it helps
Give each user access to HRMS features based on their job, not one by one
Keep permissions consistent across everyone in the same role
Create custom roles to match how your organization works
Improve security by giving people only the access they need
