Manage roles and their permissions across the organization - control access to Time Tracking, ATS, Finance, HR, and other apps from one place.
Roles & Permissions lets admins create custom roles and control exactly what each one can access - not just within Time Tracking, but across every app in PrimeHR. This keeps access limited to what's relevant for each person's responsibilities, which matters especially for sensitive features like screenshots and live monitoring.
All roles
A centralized, searchable view of every role in your organization, showing:
Role Details - name and description
Permissions - number of permissions assigned (e.g., "83 permissions")
Users - how many people are assigned to the role
Status S-ystem (a built-in role provided by PrimeHR) or Custom (created by your organization); separately, each role shows as Default or Custom depending on whether its permissions have been modified from the original
Actions - View (eye icon), Edit (pencil icon), Delete (trash icon)
Built-in system roles include things like Recruiter (ATS access), Field Force Manager (Field Tracking access), Time Tracking Admin (timesheets, activity, screenshots, live monitoring), Finance Manager (invoices, expenses, bank accounts, reports), HR Executive, HR Manager, and Manager - each scoped to a specific app or set of capabilities. You can also create fully custom roles, like "Leave Manager."
How to create a new role
Go to Roles & Permissions.
Click + Create Role.
Enter a Role Name - unique and descriptive.
Add a Description of the role's responsibilities.
(Optional) Use Copy Permissions from Existing Role to start from another role's permissions, then adjust as needed.
Select the required Permissions, organized by app.
Click Create to save.
A running counter shows how many permissions are currently selected (e.g., "83 selected").
Editing a role
Click Edit on any role to update its name, description, or permissions. Changes apply across every app where that role is used - so editing a role updates access everywhere at once, not per app.
Configuring permissions
Permissions are organized by app - so a single role can combine access across Time Tracking, ATS, Finance, HR, and other modules as needed, rather than being limited to one app.
