Managing Collections

Payments collected against field orders across all employees - in one view, with a running total.

Collections gives managers and administrators a centralized view of every payment your field team collects against orders. Filter by date, check the total amount collected, and trace any individual payment using its reference number - useful for daily reconciliation and keeping field cash and bank records accurate.

How it works, in short

  1. A field employee collects a payment - while on the job, they record the payment against an order.

  2. It appears in Collections - the payment shows up on the Collections page automatically, with no manual entry needed.

  3. Managers review and reconcile - filter by date, check the total, and match payments against cash or bank records.

How to Access Collections

  1. Log in to the Admin Panel.

  2. Go to Field Tracking → Collections.

Date Filters

Use the From and To date filters to view collections for a specific period. Leave both dates empty to see all records.

Total Collected

Shows the total amount collected, in Indian Rupees (₹), for the records currently shown in the table. The total updates automatically when you change the date range.

Collections Table

For each payment, the table shows:

  • Date - when the payment was collected

  • Party - the customer, client, or dealer who made the payment

  • Amount - the amount collected, in ₹

  • Mode - how the payment was made, such as cash, cheque, UPI, or bank transfer

  • Reference - the transaction ID, cheque number, or receipt number

If no collections are found for the selected period, the page shows “No collections found” and the total shows ₹0.00. Try adjusting or clearing the date filters.

To see which employee collected a payment, open the related order record.
