Track PF, TDS, PT, and other statutory dues generated automatically from payroll — and mark them paid once deposited.

The Statutory Payments section tracks money your organization owes to government authorities or vendors because of payroll — things like PF (Provident Fund), TDS (Tax Deducted at Source), PT (Professional Tax), and Vendor TDS. Whenever payroll is processed, these obligations are created here automatically, so nothing needs to be entered manually.

What you can do

  • See every statutory obligation generated from payroll, automatically

  • Track whether each one is still pending or already paid

  • Mark a payment as Paid once it's actually been deposited

  • Search and filter by account, date, or status

  • Export records to CSV for accounting and reconciliation

Statutory payment records

Records shown here can include:

  • PF Payable — Provident Fund amount owed

  • TDS Payable — Tax Deducted at Source amount owed

  • PT Payable — Professional Tax amount owed

  • Vendor TDS — TDS owed on vendor-related transactions

Each record shows:

  • Expense Number

  • Title/Category

  • Vendor/Client

  • Payment Date

  • Amount / Net Paid

  • Payment Status

Example: after running payroll for a month, PrimeHR might automatically create separate PF, PT, and TDS payment records for that month.

Payment status

A statutory record can be:

  • Draft — the amount is payable, but hasn't been recorded as paid in PrimeHR yet

  • Paid — the amount has actually been deposited, and the payment has been recorded

Important: only mark a record as Paid once the amount has genuinely been deposited with the relevant authority or vendor — this isn't just a status toggle, it's meant to reflect reality.

How to record a statutory payment

  1. Go to Finance → [PLACEHOLDER — confirm exact page name].

  2. Find the record for the payment that's already been deposited.

  3. Click Pay on that record.

  4. The Mark as Paid window opens.

  5. Review the payment details shown.

  6. Enter or confirm the Payment Date.

  7. Select the Bank Account used, if applicable.

  8. Enter a Payment Reference, if available — e.g., a UPI reference, NEFT UTR (Unique Transaction Reference), bank transaction reference, or challan number.

  9. Click Mark as Paid.

The record updates from Draft to Paid.

Filters & search

  • Search — by record details, title, or category

  • Bank Account — filter by the account used for payment

  • From Date / To Date — view records within a date range

  • Status — filter by payment status
