Clients & Vendors

Overview

Keep every client and vendor record in one place - contact details, GST info, and what's owed on both sides.

The Finance Module helps you manage your organization's financial contacts and activity from one place. The Clients & Vendors section specifically covers:

  • Client records for invoicing

  • Vendor records for expense tracking

  • Contact details, GSTIN, and addresses

  • Outstanding receivables and payables

  • Billing and shipping addresses

  • Search, filter, and sort

Quick terms: DR (Debit) means money owed to you (a receivable). CR (Credit) means money you owe (a payable). Keep this in mind - it comes up throughout this page.

Clients & Vendors list

A consolidated view of every client and vendor in the system, with a quick summary at the top:

  • Total Clients

  • Total Vendors

  • Receivable (Dr) - total money owed to you

  • Payable (Cr) - total money you owe

Categories

Use the tabs to filter what you're viewing:

  • All - every client and vendor

  • Clients - only client records

  • Vendors - only vendor records

  • Both - records set up as both a client and a vendor

The number next to each tab shows how many records fall into that category.

How to add a new client or vendor

  1. Click Add Client or Add Vendor in the top-right corner.

  2. Choose the record type:

    • Client - for invoicing and receivables

    • Vendor - for expenses and payables

    • Both - if the same organization is both a client and a vendor

  3. Enter their basic details:

    • Client/Vendor Name

    • GSTIN

    • Email

    • Phone

  4. Enter their billing address: Street Address, Country, Postal/ZIP Code, State, City.

  5. Enter their shipping address, or check Same as Billing if it's identical - saves you re-entering the same details.

  6. Save the record.

Accurate contact and GST details here make invoicing, expense tracking, and communication smoother down the line.

Managing existing clients & vendors

Every saved record appears in a table with:

  • Name

  • Type - Client, Vendor, or Both

  • Outstanding Amount - shown as DR (they owe you) or CR (you owe them)

  • Contact

  • GSTIN / State

  • Added Date

The Outstanding column makes it easy to spot pending receivables and payables at a glance, without opening each record.

Search, filter & sort

  • Search - find a record by Name, Email, Phone, or GSTIN

  • Balance Filter - view records by their outstanding balance

  • Sort - arrange records (e.g., by Name), and reverse the order if needed
