Match your bank transactions against your PrimeHR records - so your books and your actual bank account always agree.
Reconciliation compares transactions from your bank statement against the income, expense, payroll, and other records you already have in PrimeHR. It helps you confirm that what shows up in your bank account is correctly reflected in your books, and flags anything that still needs matching.
The typical flow:
Import Bank Statement → Review Transactions → Match or Create Entry → Reconciled
How to import your bank statement
Go to Reconciliation.
Click Import Statement.
Select your bank statement file - Excel or PDF is supported.
Upload the file.
Review the imported transactions.
Once imported, the statement's transactions appear here, ready to review and match.
Reviewing transactions
Select the relevant bank account at the top of the page to view its transactions. Each transaction shows:
Transaction description
Transaction date
Transaction amount
Debit or Credit
Current reconciliation status
Use the date sorting option (e.g., Newest First) to organize the list and find a specific transaction more easily.
The three tabs
All - every imported transaction, reconciled and unreconciled together - use this to review everything at once
Unreconciled - transactions that haven't been matched yet. For each one, you can:
Link - match it to an existing income or expense record
New - create a new book entry if no matching record exists
Reconciled - transactions that have already been successfully matched, so you can review what's already been accounted for
How to reconcile a transaction
If a matching record already exists:
Go to the Unreconciled tab.
Find the transaction.
Click Link.
Select the matching income or expense record.
Example: if a salary payment is already recorded in PrimeHR and the same payment shows up in your bank statement, link the two instead of recording it again - this avoids duplicate entries.
If no matching record exists:
Go to the Unreconciled tab.
Find the transaction.
Click New.
Create the corresponding income or expense entry.
Once matched or created, the transaction moves to the Reconciled tab.
Reconciliation with payroll & expenses
Reconciliation also works with payments generated automatically elsewhere in PrimeHR:
Payroll payments - when a salary payment shows up in your bank statement, link it to the existing payroll record instead of creating a new one
Expenses - expense records can be matched to their corresponding bank transactions the same way
PrimeHR also supports reconciling through the Mark Paid step in the expense workflow, where applicable
